Terms of Service

1. Acceptance of Terms

By accessing or using GuestDock (“the Service”), you agree to be bound by these Terms of Service. If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these terms.

2. Description of Service

GuestDock provides a white-label guest check-in platform that automates identity verification, liveness detection, and police registration for short-term rental property managers. The Service integrates with property management systems (PMS) and government reporting portals.

3. Account Registration

• You must provide accurate and complete information when creating an account.
• You are responsible for maintaining the confidentiality of your account credentials.
• You must notify us immediately of any unauthorised use of your account.

4. Subscription and Billing

• GuestDock offers a 14-day free trial. No credit card is required to start.
• After the trial, you must select a paid plan to continue using the Service.
• Subscriptions are billed monthly via Mollie. Prices are in EUR and exclude applicable taxes.
• You may cancel your subscription at any time. Access continues until the end of the current billing period.
• We reserve the right to change pricing with 30 days' notice.

5. Your Responsibilities

• You must comply with all applicable laws regarding guest registration and data protection.
• You are responsible for the accuracy of PMS credentials and police registration credentials you provide.
• You must inform your guests that their identity documents will be processed for check-in and police registration purposes.
• You must not use the Service for any unlawful purpose.

6. Data Processing

GuestDock acts as a data processor on your behalf. Our processing of guest personal data is governed by our Privacy Policy and, where applicable, a separate Data Processing Agreement.

7. Intellectual Property

The Service, including its design, code, and documentation, is the property of GuestDock. Your white-label branding (logos, colors, domain) remains your property.

8. Limitation of Liability

• The Service is provided “as is” without warranty of any kind.
• We are not liable for failures in third-party services (PMS providers, government portals, Gemini AI, Mollie).
• Our total liability is limited to the amount you paid for the Service in the 12 months preceding the claim.

9. Termination

Either party may terminate this agreement at any time. Upon termination, your data will be retained for the legally required period and then deleted. You may request an export of your data before termination.

10. Changes to Terms

We may update these terms from time to time. We will notify you of material changes via email or through the Service. Continued use after changes constitutes acceptance.

11. Governing Law

These terms are governed by the laws of the Netherlands. Any disputes will be resolved in the courts of Amsterdam.
